Health & Safety – Event Food Stall Safety: HACCP & Organiser Approval
Summary
A customer-facing client asked us to assume full responsibility for the health and safety arrangements of a single food stall at a large public event. We designed and documented the complete safety framework – addressing food hygiene, allergen risk, stall layout, electrical/fire safety, waste and crowd management – and liaised with the organiser to secure pre-event approval. We developed a practical HACCP framework, refined all risk assessments, and confirmed on-site readiness.
The result: all submissions approved by the event organiser, smooth operations on the day, zero incidents or complaints, and a repeatable documentation pack the client can reuse.
The Challenges
The client needed to deliver a compliant, ready-to-serve stall within strict organiser criteria and public-event conditions. Key risks included allergen exposure, temperature control, cross-contamination, stall structure and electrical safety, fire prevention, waste handling, and live-crowd dynamics. Documentation had to be robust, coherent and audit-ready to satisfy the organiser’s pre-approval process and on-day checks.
Our Approach
We opened with scoping calls to map stall operations, equipment, product handling, and organiser requirements. From there we:
Produced tailored hazard guidance covering stall setup, electrical/fire safety, hygiene and temperature control, allergen management, waste and crowd flows.
Built a practical HACCP framework suited to a small, ready-to-serve operation, providing clear Critical Control Points and monitoring records.
Reviewed and refined the full suite of risk assessments and supporting documentation.
Coached the client with organiser discussions to ensure submissions met criteria and were approved in advance.
Completed a full programme and product review for the client, confirming controls, signage and records were specified and evidenced for pre-opening readiness.
The Results
All documentation was approved by the organiser ahead of the event, operations ran smoothly on the day, and no incidents or complaints were reported. The client gained a clear, reusable safety framework that streamlines future event participation and demonstrates due diligence.
